I bought some white pocket folders, printed my logo on a label and placed on the front of the folder. Inside I put business cards, signed contract, w-9 form, privacy policy, intro letter and other info specific to the client and a couple of pens with my name/website on them.

When I worked as a manager, I would appreciate info about any vendor being presented in a self-contained package that I could easily file. Not necessarily 8.5x11, but neat and flat. I fashioned a sort of small-sized folder with pockets that holds a booklet, business card, and several other sheets folded in half. I like to think my info is less likely to be lost or thrown out if it's a tidy package and not just loose in an envelope.

I use a white glossy envelope folder with cut outs for a business card (when I actually send them that is).

I have not thought about the w-9 filled out withmy company info. I will have to add that. I can see how that would save a step later.

We don't have a need for W-9 here but I have read other US VAs doing that to save time.

I saw mention of sending your W9 to the client. Forgive me, but, where do you get one and what is it for? Does it help the client when it comes to taxes and services they have paid for? Is it necessary to send it to the client? THanks all.

You can get the W-9 Form from www.irs.gov. You do not have to send one to your client until they request it. If any one client pays your more than $600 they will be required to send you a 1099 form at the end of the year reporting the income that was paid to you, unless you are a corporation.

The purpose of the W-9 form is just to give the client the information they will need to be able to send you a 1099 form if needed or to let them know of your corporation status.

Ooh Great Idea on the welcome kits. Everyone likes gettings little gifts...why not include a pen or pad of note paper or post-its with your information on top. A magnet is not a bad idea either. I guess once you have established yourself and your budget allows it you can come up with loads of other ideas for the client(s) to remember your name and to share your contact information. For starters welcome kits can contain the most important information just as everyone as previously listed. Thanks for the great ideas!
