Default how to back out of a first client mtg... or not?
Hello everyone ~

I'm a new VA that offers a variety of services but I'm quickly learning that in the small town I live, bookkeeping seems to be a niche that I can fill. I had a call from a potential client yesterday and made an appointment to meet tomorrow to discuss POS set up for a new retail location. My experience level is that of a "bookkeeper" for SP's and one retail LLC who only uses quickbooks to track sales and expenses. They already have a bookkeeper on staff and I believe I would just be helping with setting up this new company and turn it over.

This is one of those sitations where I need to decide if I should go and meet with them to see what I can do or just gracefully bow out, letting them know their needs are a bit over my head. I'm leaning towards the latter but want to ask for suggestions about how to communicate in a way that is professional. I'm one of those people to want to help no matter what so this is really hard for me. Thoughts?

I too am new to the VA business but I say go meet with the business person. Could it be there in-house bookkeeper has so much work they can't extend any more hours to help the employer in this way. If you were to go to the meeting at the very least you will get some experience pitching yourself to clients. If you want to work in bookkeeping and have the experience be brave and go for it. If it's over your head be honest and say so. Then do whatever you can to become an expert!! Good luck and let us know how it turn out.

Hi Karen - it could be that the in-house bookkeeper has a lot on her plate as they are expanding. I really appreciate your response. I'm feeling a little insecure but I guess there is no harm done if I at least show up and be honest about my level of expertise.

I'm so excited to finally be up and running and even more thrilled to have clients. But it's so scarey! My hat's off to you and everyone who is travelling down this road.

Hi Karin, I hope you keep your meeting. If you establish a good rapport with the potential client I think you can let them know this isn't something you normally do and still look professional. I've stretched a bit from time to time and taken on things outside my area of expertise. I think that's okay so long as the client is aware of your skill level. Often I will let them know I am learning that particular skill, not yet an expert, and will offer it at a lower rate.

I think you should keep your meeting, too. It doesn't hurt to put those "feelers" out on this one. You never know where you might fit in! I think it's a great opportunity for you to promote your business and get some practice in talking about it with a potential. If it doesn't pan out this time for you, it doesn't mean they won't call you in the future for something else since they will already know you!

Thank you ladies! I really, really appreciate the feedback and encouragement. My appointment is for Friday and I'm going to keep it. I will let you know how it goes...

katekindred ~ excellent idea about the honest exchange and reduced rate! Going in, I think that's a great idea rather than saying that I'm unable to help.

I knew this would be a good place to get advice, thanks again!!
