Default Multiple clients... multiple diaries
Hi!

I have multiple clients all sharing their diaries with me and I would love to have them all in one place. Is there anyone out there that already does this and can recommend a product that can deal with different diaries, by clients in different timezones? It needs to be accessed and amended by both myself and the client and needs to be in real time (as opposed to syncing it each day).

I know this is a tough order but there must be something out there somewhere!

By diary, do you mean calendar? Have you tried using Google Calendar? You can usually sync that with other calendars like Outlook and both of you can access it and update it in real time.

Hi Kimberly,
Thanks for your reply! Yes I do mean calendar. I have a few clients and I update their calendars... I have two clients on Google, one on Windows Live and a couple on their own exchange servers. What I would really like to do is sign into one system and have access to all the different calendars. The trouble with Google is that I can only sign into one Calendar at a time and it's never the right one for the next phone call. And it doesn't seem to like two clients with different timezones on the same account.

Ahh, yes. Now I better understand your dilemma. Have you tried using something like ClientSpot. It's been awhile since I've used it so I'm not sure it would work. But I seem to recall that you sync it with other calendars and I believe it lets you set up different profiles for different clients that both you and the client could access. '

I've also heard great things about Central Desktop. I haven't used it personally, but you might want to check it out to see if it would have that capacity.

Thanks Kimberley... I have looked at ClientSpot and the calendar doesn't seem quite right because I can't see the timeslots. I haven't seen Central Desktop so I'll go and have a look at it now.

I know there must be one other VA out there that is silly enough (like me) to look after lots of client calendars! Maybe they are struggling too!

Hi Katy:

Maybe try using Backpackit. You can color code different items for a calendar into one calendar using the iCal feature. My situation is as follows:

I've got one client who has 6 different calendars, but I need to manage only 2 of those calendars. I've got another client who I manage his calendar for.

I combine both clients calendars PLUS mine into Backpackit using the iCal feature. I only pay $7/month and it really helps since I'm able to use it on my iPhone as well.

Client Number 1 - Calendar 1 is blue
Client Number 1 - Calendar 2 is red
Client Number 2 - Calendar is pink
Personal/Business Calendar for Myself is green

The time zones all correspond with my local time. I just need to remember which time zone my other clients are in which is EST and PST. Good luck and hope this may work out for you!

I dont have multiple clients - yet (bit of wishful thinking there) - but I used to spend a lot of time on Second Life and was doing a few things on there that were happening in different time zones. I had my personal calendar and one for that but I put them down at the times in my time zone so I didnt get confused. I dont think will help much - but it might.

BaseCamp allows me to download one Calender with all my clients milestones combined.

The Calender in BaseCamp is fairly limited I think for a daily planner, but it may be worth a look!
