Default Software Checklist
Being a newbie to the world of VA (and loving it), just wanted to bounce off our software list with others to see what if anything, we are missing to make sure we are up to par. Microsoft Office, Mailchimp, Grindstone for time tracking, Using Outlook for scheduling, we have our fax and scanning programs via HP. Your input is greatly appreciated!!!
Also, I am not sure if this is the thread to do so, but if you can take a quick look at our website which is listed below, to let us know what you think. Thank You and looking forward for some great input.

Nick

The only other thing I can think of would be file sharing software - sometimes clients like a bit more 'security' than just email. Dropbox is good.

Only too happy to help. It's better to have a few different options, because you have a better chance of being completely prepared for your clients then

I use Freshbooks for invoicing my clients and Xero for my business accounting (as I'm a limited company). If you're a sole proprietor, Freshbooks would be fine for your income and expenses.

I also use Dropbox and find it invaluable for sharing work with clients and my team.

Nicole,
Definitely will look into Freshbooks. I have seen and heard many good things about it on this site. I see you also mentioned Dropbox, I have seen mixed postings on them. Can you tell me more about it (reliability aspect). Thanks!!!

You should consider invoicing software as well, and I also recommend Freshbooks. Free to use for your first 3 clients.

Dropbox is also great for file sharing. I not only use it to share files with clients, but also with my classmates (I'm a student as well).

You should also consider online backup software to backup your client files. I use SugarSync and haven't had any problems with it. You get 5GB of free online storage. If you want more there is an extra fee. You want to have a backup in case your harddrive ever fails so you don't lose everything.

I also recommend Freshbooks, great tool for invoicing, DropBox or Box.Net for file sharing, Evernote for notes and collaborating, Skype for training and mentoring.

Thanks,
Susan

I use MYOB for my invoicing and accounting.

Dropbox was hacked recently - but only affected UK US and parts of Europe I think. I don't use dropbox as 'storage', I only use it when I need to share something then clear it out again.

I use Wave Accounting for my invoicing and accounting process and even better it's free. I'm a huge fan of Freshbooks, but dropped to cut costs.

I use Google Docs (Now Drive) to sync my files and back up (cheaper than Dropbox). I use Google Docs the majority of the time for my documents.

Evernote to track my projects and content.

Basecamp (in combination with Evernote) to manage most of my client projects.

Insynchq to sync my Google Documents (works just like DropBox)

Amazon S3 to archive any documents and to use for downloads of products I sell.

Skype (another thumbs up) and I'm starting to use Google Hangouts more as well.

It looks like they have you covered on the software. I was looking at your site and it's very nice. Clean and professional, but I do have a couple things below.

Correct error: About Page: 2nd paragraph, 2nd sentence "Our goal is to simplify the daily grind for people who want to free themselves of the dreaded administrative details to focus more on increasing revenues." [missing the word "to"]

Font to small: Virtual Assistant Services Page: This is really difficult to read. Can you increase the size?

Other suggestions: I would consider adding client testimonials and do have a blog or plan on blogging. A blog is a great way to keep your website moving with fresh content.

Rhonda,

Thank you so much for the great input. Changes made on the 2nd paragraph. Question, did you click on the chart to increase the size? If so, still too small? I will work on that ASAP!!! Was thinking of adding a blog eventually it was actually on my to-do list.
This is the reason why I joined this forum. Great, friendly and informative feedback from my fellow VAers!!! Thank you again Rhonda!!

Microsoft OneNote is great for note taking and organizing notes. It organizes your notes like a binder. I have to say it has become one of my favorite softwares.

Sugarsync to back up files and I use a website called Podio if I'm working with a team. It's a pretty awesome site to keep everything in one spot at one time. I love dropbox but the only thing I can think of that you didn't mention was Sugarsync. It's great to keep important files backed up.
