Default QuickBook Invoice Tracking
Not sure if this is the place for this type of question but it relates to billing and invoicing.
Hopefully I can explain this without losing anyone.

I am doing invoicing for a client, just manual ones in word. I am then tracking them in an excel spreadsheet (because there is more info required beside payment - ie. what sessions they signed up for, so that I can track how many people are attending which etc).
When cheques come in the treasurer is doing whatever she does with them and marking them as paid on our spreadsheet. I am then to followup with whomever hasnt paid.

Problem is we have too many spreadsheets going (conference, sponsorship, membership). I would love to use QB's so that I can do invoices there, and she can mark them paid and then I can use the spreadsheets for tracking the other stuff. Question is.... how can we both use it if we arent networked? Is there away? Does anyone do this type of work for their clients and if so how do you do it?

i do virtual bookkeeping as a VA. You would need access to her computer (or vice versa) through a remote system. GoToMyPC is one with which I've had good success. The alternative would be to pass a flash drive (or similar device) back and forth, but I don't recommend it for bookkeeping purposes; it is much better to only have '1 cook stirring the broth' when working on accounting books, IMHO.

What about having her email you when a payment is received and you can manage the QB exclusively?

There is an accountant's copy feature that may be useful in this situation. Although, I've never used it. Check in your QB users guide. If you don't have one, just let me know. I'll check it out in the interim.

Do you already have a copy of QB? Do you use QB for any other portion of their accounting or does the treasurer handle it all, with or without QB? If you have the copy of QB, it would simplify things if the treasurer could just email you the payment details so you could track them in QB. Otherwise it may be difficult to convince your client to shell out the money for QB if you are only using it for invoicing, unless you handle a lot of invoices for them each month.

In a variety of circumstances, when dealing remotely with clients, I have found logmeinfree.com works well, as well as gotomeeting.com. I like Logmein, the best because it worked very well and it was FREE! As I have the Accountants version of QB, I am able to log in to clients QB file when I need to complete a task for them. Just let me know if I can explain anything further.

Thank you very much, I am going to look at the options you guys proposed and if i have any questions will be sure to post here.
The treasurer currently has QB and uses it for her bookeeping - just not invoicing. I dont have it, not have I used it before.
