Default Bookeeping/Job tracking/expenses and VA payments
Hi Everyone,

It's my first post on here. WoopWoop.

Apologies for not having much on my profile yet however I promise I will have something on here shortly.

I am looking for some software that can do the following list of things below as a minimum. It needs to be like Paymo but better and Ideally either Free or with a very low entry fee.

I have been doing a lot of research and I just can't find the perfect solution.

I am after the following.

  • The program must allow three users as a minimum with the option to add more. This is to allow for designers to sign in etc so that we can track their hours.
  • The invoicing part needs to be locked from chosen users.
  • We need to be able to track the hours worked by our team
  • We need to be able to send invoice, log unpaid ones etc
  • Ideally an option to share documents however we are managing fine with google docs at the moment.
I haven't been able to find the perfect solution as yet however I am sure that there is a great package out there. Any suggestions would be greatly appreciated.

Check out Mavelink. It is a project management program that allows for time and expense tracking on each project. It also integrates with Google Docs, Calendar and Contacts so that you can sync information if you choose.

For your team members, there is an admin option that will allow them to track time, see all times on project, invoice client. You as the administrator select the level of options that they should have on the project.

You can send an invoice directly from the project and then add a payment when it is received. They have several tiers of pricing however if you are a Google Apps user and you leave feedback in the apps area they will give you 50% off the price of a package.

Hi Lee,

Many thanks for the reply. I am currently doing more research but that looks pretty good. At the moment it's "paralysis by analysis" as there are so many programs out there that is takes a lot of research to source the ideal product.

I am so excited to check out Mavelink - it is definately a great little tool and with the expert level at $39 a month you can utilize so many features in one system rather than paying monthly fees for several that will do the same thing --- definately going to consider setting up the trial this weekend for the month and see what happens! I am excited! Woo Hoo.....

Hi and congrats on your first post... I know the feeling :-)

I just signed up with Paymo.biz about a month ago. I love it already!!
It allows me to manage my team (and each team member has their own dashboard), set admin users and watch assigned projects in the works, Invoice my clients, track time, it also has an offline dashboard that you may download and is available on iPhones & Androids. Again, I love it! I have a direct web link for easy access to clients. My clients are able to see what is being done and can set deadlines.
The best feature of all is when a client "claim" they never receive an invoice, Paymo has a new feature that will send you a notification when an invoice has been received or viewed by a client. So you'll be able to always be able to go back to that as a reference.
There are so many other helpful features that I can utilize, and I can’t wait to start using it to its capacity. I have 7 employees and I pay less than $5 per user. So in my book it’s worth every penny.

As for document sharing, I would eventually go to a system like ActiveCollab... that is what I am working towards. My vision is to be completely paperless and have an easy process and seamless experience for my clients.

I am anxious to check out both paymo.biz and mavelink. I need to start exploring these things as my business is starting to develop rather quickly.

myIntervals provides the ability to do all these tasks and more for a very reasonable price. I have tried many difference Project Management programs and found myIntervals to be the best suited for my Va business. http://www.myintervals.com.
