I second Freshbooks but you may also want to look at: http://www.getharvest.com. It is specifically for time-tracking and integrates with other services (such as Basecamp).

I'll also throw in that I've been adding in my subcontractors as team members in freshbooks so that I don't have to add it all again into my invoicing. It asks for the rate I charge the client and the rate I pay the sub, which means no math for me!

Marta,
We use a few software programs that integtrate well with each other and let our VA's track time by client and enter tasks.

Avalanche- Time Tracker tool. This widget is free and available through yahoo widgets. It connects with our Basecamp project management software which we keep all of our clients(projects) and the tasks.

Basecamp- online software through 37 signals. This software keeps all of our client projects and lets us collaborate with clients. They can assign tasks and upload files. It also keeps track of all of the time entered through the Avalanche widget. Your VA team can also enter time directly into Basecamp.

Freshbooks- I know this software has already been mentioned. It's a great invoicing tool and it will pull all of the time and notes from Basecamp into a detailed invoice for your clients. Credit card and Paypal can also be enabled so clients can pay their invoice online. The downside with Basecamp is that if you choose the detailed invoice with all time showing as a individual line item you will need to enter the rate for each line item.

I currently use Time Master (ipod application). It has a Invoice and Quickbooks module (total cost $30.00)

However I also use Paymo which is free for the first two users and upto three invoices per month and for 9.99 a month you get unlimited invoicing (you will have to double check that and not sure on the number of users with the monthly 9.99).

I use Paymo with one of my clients for their employee payroll and a few their subcontractors who get paid at the same time as the payroll. I set up individual accounts for each person (so it stays free). This is working great as it keeps all the hours jobs specific and the employees/subcontractors log in and put their hours in which leaves me not having to track down their time sheets. They also have a desktop widget and ipod application.

Quickbooks Pro has a time tracking file on the disc. It can track time for invoicing clients and for your payroll.

Just a note on Simple Start. I started with it as well and it is good, but if you ever want to upgrade to QBs Online then you cannot upload that version. So you will have to rebuild your books. Try it out and if you think you really like it then I would switch over to a version that does offer upload to QBs Online. Obviously it is an expensive program to buy which is why I mention it now. I don't want to see you have to rebuild your books, and if another version is not in your budget then you may want to consider freshbooks which is online, and they offer a free version of that but I do think it has limitations.

Checking out simplestart and freshbooks now. Do VAs typically use these time tracking programs to stay accountable to themselves or is this something done because clients request it? Thanks for the info.
