Arrow Responding to a Inquiry
Ok, so another hit through the Quote Request on my website. I'm always so critical about my first response to potential clients. This is how I've reposnded and I would appreciate your honest opinion on if/how you would tweak the response.

Quote:
"Thank you kindly for contacting me regarding your need for writing assistance. This is something that I can quickly handle for you.

Have you chosen the companies these letters are intended to go to? You mention that you are looking for 8 letters each with a different spin.

I visited your website and it has a lot of exciting information that could intrigue a potential sponsor.

Please call me at your convenience to discuss the content of your letters and I will get the first one drafted for you so you have a feel for my writing style.

Putting business first, though, I require a deposit before I start work since our business relationship has not yet been established. My fee is $XX/hr. It would take me 30 mins. to draft a letter, which would include formatting and editing after the initial creation. If you're looking for 8 letters, 4 hours is the estimated timeframe.

You're looking at a fee of $XXX for this project as it stands with the information you gave me. However, we will have a conversation and make sure I'm understanding your needs correctly.

My cell phone number is _______________.

I look forward to speaking with you,

Bethany Lee

Bethany,
Very nice letter there.
One thing though, some people are put off by the "you call me". If you have a # to reach this potential client, it would seem more professional for you to pursue them. If you don't have a # maybe you could request one in the letter.

Just my 2c

I would even go so far as to say "I have Tuesday or Thursday at 2pm available this week. Which day suits you best for me to call you?"

I love the idea of providing them with a couple of different times to choose from. Even if this is your first client, it gives the impression that you are a busy VA.
