Default Administrative Fees for Clients
When a client asks you to break down individual tasks, do you charge an administrative fee for taking the extra step.

I categorize my stuff like:
Constant Contact
1SC
Web Design
Social Media
etc

but due to "being burned" (is how my client put it) now wants me to list what EXACTLY I do for them.
IE:
Constant Contact (researched graphic)
Constant Contact (inserted graphic)
Constant Contact (added link for tele-seminar)

Etc.....

I guess I will start logging in the email time too? I have not done that for this client...but if this one wants everything broken down, maybe I should??

Feedback?? Please....

I would charge for not only the time you spend emailing but for the time it takes to put together a list of those specific tasks.

You might also consider letting the client know that you are willing to do this specific task listing for the first 3 months but after that then you will either resort to your previous form of task listing or you will charge her a minimum of 1 hour per month for such a list.

For myself, I would want to relay to this client that after a certain period of time there's either a level of trust there about your work or there isn't.

For emails that are intricate or detailed, I do charge that time to the client.

Rebecca: I agree with Kimberly that you should charge for anything and everything that they specifically ask you to do.

If you have a time tracking program, it can do most of the work for you. I use Time Tracker and it would take about five seconds to stop the timer, type "inserted graphic," and restart the timer. Then when you're done inserting the graphic, you stop the timer, type "added teleseminar link," restart the timer, and get going again.

I also agree with Kimberly. Especially the part of trust between you and the client. I would also explain that you understand there was some past issues but that is not how you operate and there is a certain level that you need to maintain to have a solid working relationship.

I use a time tracking device inside my freshbooks and she can log in, I think, any time to see what her time is....

I use QuickBooks to track my time. I can then run a report that tells me what I worked on (strategic plan, marketing, special event) the date and time and brief notes about what I did.

I also build in 2 hours every month just categorized as Miscellaneous (emails, filing, etc.) None of my former clients or current clients have ever objected to that.

I don't bill for my time in putting the invoice together as I consider that a business expense but if I was asked to detail each item on an invoice, I would certainly charge my hourly rate for that service. That would be considered a special request.

I charge for emails on the invoice and I list that as 'correspondence' but I bill on the lower side with email charges.

Kimberly is correct about the level of trust needed. Good answer.
