With my main client I facilitate/plan a lot of events/speaking engagments. So I actually have 2 of those calendar white boards placed on the wall one on top of the other. This way I have a 2 month view point in front of me. It also works as a great visual for some of the others who are working on the projects to see whats what and when... things tend to change quickly...
So my client always has an updated calendar, I use
mobile me. This is a online based calendar/email software that can be linked to your outlook and your iphone. I use it only for the calendar and not the email or other features. You can create different calendars for specific things like events, speaking engagements, personal, conference calls, b-days, etc. it's a little slow sometimes but works well for the uses I have it for. It has a small yearly fee I think, but it's very decent. I can update this from my outlook as well and included notes and links, locations and times.
I love Outlook. I use it for my tasks, reminders and contacts, you can attach specific files to a task and be reminded of it later on when it needs to be addressed. I can organize all my emails into folders so its not just one giant list of emails. personally love it!
I would like to encourage anyone to take a look at
Franklin Covey Plan Plus Online. It's similar to Outlook but web based. There is a 30 day free trail you can register for. I started using it with a client who had a database of 10K+. You can create tasks and goals and email them to those appropriate. You can connect your different email addresses to it so you have one main hub (minus is that there's a small max file size) You can create users with limited access. It's a great program but takes a lil time to set up and to fully utilize all of the tools. It does have a monthly/yearly fee but I think is well worth it if you are going to fully utilize it. During the day, my days can be quite hectic, I tend to write in my note book that never leaves my side. At the end of the day I recap and see what needs to be followed up with and what can be checked off the list.
1 strategy I am still working on is a concept called 10 before 10. At night I make a list of 10 things I want to do before 10am. Whether it's email or call this person, finalize this report, send in this contract etc. It helps to prepare for the morning and starts the thought process even while I'm sleeping. I feels its very helpful if I manage to write the list before I fall into slumber.
Personally, I refuse to have a smart phone. It's seems like it would suck up a lot of my time. I'm on my phone a lot as it is but I still love my phone.
