I have worked with countless business executives who keep track of things by making list after list, scribbling on scraps of paper and shoving them in their pockets. At meetings they start pulling out notes or reference the backs of file folders, post-its and even envelopes. How often I have heard them exclaim, "I know I wrote it down somewhere!"
The system I use is the Master Journal, a hand written notebook. You can keep this list on your electronic devices but, I find that the notebook is more versatile and then can be transferred to your smart phones and computers.
A great Master Journal can be used to look back on any information jotted down during meetings and phone calls. Small, but important details that may escape your memory today but can easily be confirmed by thumbing back through these pages.
* Make items easier to find by marking important notes with an asterisk, use arrows to show relations, or draw borders around after thoughts. Use your imagination!
* Write the date at the top of each page.
* Regularly transfer important information into an electronic calendar, phone, or computer.
* Get in the habit of writing down details as they happen: contact information; project descriptions; delivery dates; and who said what, when and where.
The beauty of this system is: as a Virtual Assistant, once you introduce it to your client they will be able to scan their pages over to you and in turn, you will be able to organize everything according to the agreed specifications.
