A Day in the Life of a VA

7:00 am Wake up. Coffee is on, thanks to hubby's forward thinking.

7:15 am reading through emails that came overnight. I'm looking for requests for information for a major client. Watching for leads to be placed with agents. Seeing if there are any voice mails that need to be returned. Love that 2 minute commute after a stop for coffee.

7:30 am mentally run through open tasks.
- Scanning documents to return to client
- Leads to place
- Updates
- Meeting at 9 am CST
- House showing appointment at 11:30 CST
- Phone calls
- House showing appointment at 2 pm
- Gym
- And the list goes on

8:45 am- this is when things start to go crazy
Client wants mini-meeting before 9 am meeting
New procedures being kicked around
Can I make a 11 am meeting today?
(Thinking fast on my feet is what I do best)
9:00 am Meeting (1)
New lead source
New procedures
Questions for the presenter - how this affects our team and pitfalls we should watch for
(still monitoring email and placing leads as necessary. Multi-tasking is highly overrated!)
9:30 am Meeting (1.1)
Continuation of first meeting
Discussion of new procedures being kicked around
10:00 am - call to reschedule 11:30 am house showing, notify client its being rescheduled

Some scanning documents to .pdf
Fielding questions from team members via IM
Still monitoring email and placing leads
11:00 am - meeting with Client and his bosses regarding new procedures
Freaking out now, major re-write of procedures, I just revised the manual, 6 months in the process.
Bosses don't really understand what we do…
Agents are not that happy how we do it.
(fast on my feet and flexible, I start re-writing procedures in my head looking for sticking points, procedural changes, making up rules as I go along)
Fortunately, my partner is watching the emails and placing leads.
11:30 am - meeting 4 (or is it 5) with client
can we do what they're asking
How is it going to work?
How much is this going to cost them?
Can I make a flow chart? A WHAT?
I'm all about the details, the nitty gritty, down and dirty making the process work - this is why I was invited to the meeting.
Noon - 5 - cover another round of lead placements, updating, coaching, teambuilding, etc
Research lead sources for flow chart
Scarf down PB&J Sandwich hubby makes for me
3 pm House Showing
More research, start Flow Chart
Version 1 and 2 of Flow chart sent to client (another meeting tomorrow to review?)
5:30 - Hubby is home, off to the gym I go for my requisite amount of activity.

7:30 - Dinner is done - more work, bookkeeping while it is quiet, paperwork, networking, etc.

Just another day, fast and furious, flexibility is my middle name. During this day, the wind was howling, and we were experiencing sub-zero temperature, and worse wind chill factors. Talk was of snow (thankfully it missed us). This is why I LOVE being a VA.

**This was a single day about two weeks ago. No two days are ever the same, and they are NEVER as I planned them to be.

Nice post Kathy, thanks for sharing your day with us This phrase really resonated with me: 'Flexibility is my middle name' - that would make a great tagline and from what I can see of your daily routine absolutely applies to what you do as a VA.
